Who Runs the Club?
The club is managed by an elected Committee made up of:
See the Who's Who. These volunteers oversee training, finances, safeguarding, membership and day-to-day club operations.

- Appointed by the Committee.
- Must be over 18 and have appropriate background and training.
- Focuses on safeguarding and welfare matters.
- Attends Committee meetings but does not vote.
How Decisions Are Made
- Committee meetings are held regularly, with decisions made by majority vote.
- Minutes are recorded and financial accounts are independently examined each year.
- Major changes to rules must be approved at a General Meeting.
The club holds an Annual General Meeting (AGM) every November, where reports are presented, accounts are reviewed and the Committee is elected.
Membership – What Parents Need to Know
- Membership includes Club, County, Region and Swim England fees.
- Fees are due on joining and then annually from 1 January.
- All helpers involved in club activities must be members for safeguarding and insurance.
- The club does not discriminate and follows the Equality Act 2010.
How Parents Can Get Involved
Parents are a vital part of Newark Swimming Club. There are many ways to help:
- Attend the AGM – hear updates, ask questions and vote on key decisions.
- Stand for a Committee role – any fully paid-up adult member can be nominated.
- Volunteer at galas – timekeeping, marshalling, results, refreshments.
- Support fundraising and events – raffles, socials, sponsorship.
- Offer skills – IT, finance, communications, photography, admin.
Sub-committees & co-opted members
The Committee can create sub-committees (e.g. competitions, welfare, fundraising) and co-opt extra members to help until the next AGM.

Newark Swimming Club adopts Swim England’s Wavepower safeguarding policy. All members must comply with these rules and recognise that welfare is everyone’s responsibility.
- The Welfare Officer is your first point of contact for any concerns.
- Children and adults have the right to be safe, protected from harm and enjoy swimming.
- Incidents and accidents are logged and reported in line with Swim England guidance.
Finances & Transparency
- All club income is used to support swimming activities and club operations.
- Accounts are examined by an independent examiner each year.
- Financial records and meeting minutes are kept for at least six years.
