
How the Club Works
The club is managed by an elected Committee consisting of a Chairman, Secretary, Treasurer and six elected members. Up to eight co-opted members may also be appointed to support club operations.
Committee volunteers oversee:
- Training and coaching
- Safeguarding and welfare
- Membership and administration
- Finances and budgeting
- Day-to-day club operations

The Committee meets regularly throughout the year, with decisions made by majority vote. Minutes are recorded and financial accounts are independently examined annually.
Major changes to club rules must be approved at a General Meeting.
The club holds an Annual General Meeting (AGM) every November, where reports are presented, accounts are reviewed and the Committee is elected.
Parents play an important role in supporting Newark Swimming Club. Opportunities include:
- Attending the AGM to hear updates and vote on decisions
- Standing for a Committee role as a fully paid-up adult member
- Volunteering at galas (timekeeping, marshalling, results, refreshments)
- Supporting fundraising activities and social events
- Offering skills such as IT, finance, communications, photography or admin
Newark Swimming Club follows Swim England’s Wavepower safeguarding policy. Welfare is everyone’s responsibility, and all members must comply with safeguarding rules.
- The Welfare Officer is the first point of contact for any concerns
- Children and adults have the right to be safe and protected from harm
- Incidents and accidents are logged and reported in line with Swim England guidance
The club is committed to financial transparency. Key principles include:
- All income is used to support swimming activities and club operations
- Accounts are independently examined each year
- Financial records and meeting minutes are retained for at least six years
